Dispatch of exam scripts guide

This guide provides information for examination centres in England using the Department for Education鈥檚 (DfE) yellow label service to dispatch exam scripts for marking.

Please read this guide in conjunction with the Joint Council for Qualifications鈥� (JCQ) .

Collection arrangements

Scheduled collections

Parcelforce will arrange daily collection slots with centres that have exam sittings, excluding Functional Skills, on 3 or more days in any week during the JCQ鈥檚 (May to June).

Ad hoc collections

You must book individual collections if your centre does not qualify for scheduled collections or requires collections in addition to the scheduled ones: 聽

  • You must complete each booking at least 24 hours in advance, although you can book up to 14 days ahead.
  • You can make a booking by selecting 鈥楢rrange Online鈥� on the or by calling the Parcelforce exams helpdesk on 0344 561 7998.
  • You will receive a booking reference number for each booked collection, which you should note on a dispatch log.

If you need to amend, cancel or rearrange a collection, please contact the Parcelforce exams helpdesk on 0344 561 7998. You cannot amend a collection through the online booking form, and you cannot contact Parcelforce drivers directly because they are not equipped with mobile phones.

Centres with multiple sites

We can only collect from centres鈥� addresses held in the National Centre Number (NCN) database.

Awarding organisations鈥� standardisation exercises

Your may ask you to supply exam scripts for a standardisation meeting. 皇冠体育appy will provide instructions and make the collection arrangements, which are separate to the yellow label service.

Transferred candidates

Follow your instructions for dispatching scripts of candidates who transferred to you from another centre.

Packaging exam scripts

  • Brief all colleagues who may help with packaging scripts about the collection process and guidance, the booked collection slots, and the location of the packaging and labels.
  • Only use the script packaging and labels provided by your . Contact them if you need replacement packaging, including labels. Some awarding organisations email PDF replacement labels, which you should print onto yellow paper, if possible.
  • Ensure all scripts or other response items, attendance registers and requested documents are accounted for.
  • Avoid overfilling packages. Split the scripts equally between two packages instead, if needed.
  • Whenever possible, pad out very thin and light packages. Clearly label memory sticks or CDs and place them inside a padded envelope before adding this into the return packaging.

  • Seal the packages and attach one yellow label per package, ensuring that the details on the label match the scripts and that all barcodes are completely visible and undamaged.
  • Update the dispatch log for the upcoming collection by recording the consignment numbers from the labels you have used.
  • Store your packages securely.

Managing collections

  • Ensure packages are available at the agreed pickup point 15 minutes before the beginning of each collection slot.
  • Ensure colleagues know to expect the driver, particularly if you will not be available.
  • Ask the Parcelforce driver to add their name, the collection date and the collection time to the dispatch log.
  • Retain the dispatch log as proof of dispatch.

Missed collections

If your Parcelforce driver does not arrive for a collection slot, or your packages are not ready to hand over, store the packages securely until your next collection.

Call the Parcelforce exams helpdesk on 0344 561 7998 to tell them if a driver did not attend.

If you have more packages to dispatch but you do not have any more collections arranged, book an ad hoc collection through the or by calling the Parcelforce exams helpdesk on 0344 561 7998. Alternatively, you can take your packages to a .

Collections before a half term holiday

If you have a collection slot before you have finished administering exams on the Friday before half term, dispatch any available packages.

For packages from later sittings, you can book an ad hoc collection during half term, if this is convenient. Alternatively, you can take the packages to a .

If you have a booked collection slot on the Friday before half term and the Parcelforce driver does not attend, call the Parcelforce exams helpdesk on 0344 561 7998.

Contingency planning

Follow the exam system contingency plan in case of major disruption.

  • store the packages securely until your next arranged collection
